# Files & Folders

Bring source material into WIZE — past appeals, donor briefs, brand guidelines, CRM exports — and organize it so you and your teammates can find it.

## Uploading

The quickest way is to drag a file straight in — the other two are there for when dragging isn't practical.

- **Drag a file onto the WIZE window**, anywhere in the app. While the file is over the window WIZE shows you where it can go, and *where you drop it decides what happens*: drop on **Attach to chat** (over the chat panel) to put the file on the message you're about to send, or on **Upload as document** (over the document area) to file it straight away. If only **Attach to chat** appears, the chat is fullscreen and that's the only target. With the chat panel hidden, or in a narrow window, you won't see the two targets at all — an **Upload Files** window opens instead, and dropping the file there saves it as a document.
- **New** in the document search tab → Upload Files.
- The **+** next to the document tabs → Upload Files.

> [!NOTE]
> **Attaching a file in chat still saves it.** The **+** in the chat input (and the *Attach to chat* drop target) puts the file on your message; when you hit Send it lands in your documents like any other upload, visible to your team. Until you send, it's staged and nobody sees it — but attaching in chat is about *where you're working*, not a way to keep a file out of your library. To restrict it afterwards, use Share… → *Only people with access (Private)*.

Files are converted based on extension:

- **Documents** — PDF, Word, RTF, HTML, EPUB, presentations (PPT/PPTX, Keynote, Pages), LibreOffice formats, and many more. Become rich-text documents you can edit.
- **Spreadsheets** — CSV, XLS, XLSX. See [Spreadsheets](/help/spreadsheets/).
- **Images** — JPG, PNG, GIF, SVG, BMP, TIFF, WebP. WIZE can read what's in them.
- **Audio and video** — MP3, M4A, WAV, MP4, WebM, etc. Transcribed into text so the content is searchable and usable in chat.

If a format isn't supported, dragging it in will reject cleanly.

> Upload broadly early on. WIZE only drafts from what it knows about — the first hour you spend uploading pays off in every chat that follows.

## Folders

Group related files together. Folders can be nested, renamed, and files moved between them. Common patterns: by campaign, by donor segment, by document type, by program.

You can also ask WIZE to do the filing — "create a Grants 2026 folder and move these three documents into it" works in chat, and the result card includes a folder chip that jumps you to the folder.

Deleting a folder offers a one-click **Undo** for a few seconds, which restores the folder and re-files its contents.

## Starred

Star any file (from its three-dot ⋮ menu) to add it to **Starred** — your personal quick-access list. Open it from the sidebar's Starred entry, or from the filter menu's **Show → Starred**. Stars are per-person; your teammates keep their own.

## Tags

A more flexible categorization than folders — a file can have multiple tags, and tags cut across folders. Names can be any text (up to 64 chars, including spaces and punctuation): `Major Gifts`, `Draft`, `FY 2026`.

## Finding files: search, filter, sort

Search matches against file names, so name files descriptively. Beyond search:

- **Filter** — one menu for narrowing the list: **Show** (All files, Guides only, CRM query results, or Starred), **Type** (any mix of Documents, Spreadsheets, Designs, Dashboards, PDFs, Images — "PDFs and Designs only" is two clicks), and Active vs Deleted.
- **Tags** — filter by one or more tags from the Tags menu beside it.
- **Sort** — by Name or Date created, in either direction, with folders on top or mixed in.
- **List or grid** — toggle between row and thumbnail views from the header.

## Privacy

Files are shared with your whole Organization by default. To keep one to yourself, open **Share…** — from the file's three-dot ⋮ menu, from **File Settings → Sharing** (⋮ → **Settings**, or the gear in the toolbar), or (for documents and designs) the **Share** button in the toolbar — and under **Who at \<your organization\> can see this** choose **Only people with access (Private)**. The file is then visible only to you and anyone you add under *People with access*: teammates can't open, search, or see it, and WIZE's document, spreadsheet, and design tools honor that — they won't surface it to anyone else. Choose **Everyone at \<your organization\>** to share it with the team again.

You do not have to have created a file to restrict it, and restricting one makes you its owner; from then on only the owner can widen access again.
