# Contacts & CRM Records

WIZE works with two kinds of CRM data, and it helps to know which is which:

- **Your connected CRM's data.** When you connect a CRM (Blackbaud, Salesforce, Bloomerang and the others — see [Integrations](/help/integrations/#crm)), WIZE keeps a synced copy of your contacts, gifts, and activity. That copy is refreshed by each sync and is read-only in WIZE: you change those records in your CRM, not here.
- **Records WIZE keeps for you.** Notes, follow-ups, contact reports, relationships, and anything you import from a spreadsheet. These live in WIZE, you create them by asking in chat, and they work whether or not you have connected a CRM. Attaching one to a specific person, though, works only for contacts synced from a connected CRM (see below).

The **Contacts** page, contact profiles, and **Segments** described below are built on your connected CRM's data, so they appear once a CRM is connected.

## The Contacts page

Once your organization has a CRM connected, a **Contacts** button appears in the left sidebar, directly below Home (the contact-card icon; hover it to see its name). On a phone, it's **Contacts** in the menu.

The page lists everyone in your connected CRM, with their email or phone, location, number of gifts, lifetime giving, and last gift date. Organizations carry an **Org** tag, and deceased constituents are marked **Deceased**.

- **Search** — type part of a name, an email, or the CRM's own record id, then press Enter or click **Search**.
- **Sort** — by **Name**, **Recently added**, or **Recently updated**.
- **Page** — 100 contacts at a time; use **Previous** and **Next**.

While a sync is running, a **Syncing** notice appears at the top. A full re-import refills the list from scratch, so counts can look low until it finishes — nothing has been lost.

## A contact's profile

Click anyone in the list to open their profile:

- **Giving** — lifetime total, this year's total and gift count, number of gifts on record, most recent gift, and first gift. These figures are calculated directly from your CRM data, not estimated. If your CRM records more than one gift type for the person (for example a pledge and its payments), a note warns that the lifetime figure may count both, and **By gift type** breaks the total down so you can use the number you need.
- **Briefing** — a short summary WIZE writes from the figures on the page. Click **Regenerate** to have it written again from the current data.
- **Gift history** — their gifts, newest first, with amount, type, and fund or campaign. The header says how many of the total are shown.
- **Activity** — the notes, actions, and events synced from your CRM, together with the notes and follow-ups WIZE recorded about this person (marked **Filed by WIZE**). A meeting report shows on the profile of the first person it was filed against; the other attendees are linked to it, and WIZE can find it for them in chat.

A profile's link stays the same after every sync, so you can bookmark it or share it with a teammate.

## Segments

A segment is a saved list — "lapsed donors who gave over $500 last year", "monthly givers in Ohio" — that runs again against your current data every time you open it.

**Creating one:** ask WIZE for the list in chat, then say "save that as a segment" (give it the name you want). There's no create button on the page; segments come from chat.

**Finding them:** click **Segments** at the top right of the Contacts page. Click a segment to see its results; the page shows how many rows it returned and pages through them 100 at a time.

**Managing them:** use the ⋮ next to a segment to **Rename** it (edit the name in place) or **Remove** it. Segments are shared with everyone in your organization, and anyone can rename or remove one. Removing takes it off the list straight away, with no undo on the page — ask WIZE to save the list again if you need it back.

## What WIZE records for you

Tell WIZE something worth keeping about a donor or prospect and it records it:

- **Notes** — "note that she prefers email and is retiring in the spring."
- **Follow-ups** — "follow up with the Hendersons about the impact report in two weeks." A follow-up is a record on the contact, with a due date if you give one; WIZE does not send you a reminder for it. If you want it on someone's to-do list, ask WIZE for a task instead (see [Tasks](/help/tasks/)).
- **Meeting and call reports** — paste or upload your notes from a meeting ("here are my notes from lunch with the Hendersons"), or just describe the call. WIZE files one contact report plus a follow-up for each action item, and matches the people you mention to the contacts synced from your connected CRM. When a name could be more than one person, it asks you which one rather than guessing; a name it can't match is kept as text on the report, and WIZE never invents a new contact for it. Without a connected CRM — or for someone who is only in a spreadsheet you imported — names are always kept as text.
- **Relationships** — spouse, employer, board member, "knows", and similar links between people and organizations, which WIZE can then use to answer questions like "who do we know on that foundation's board?"

A few things worth knowing:

- **Anything involving money is confirmed first.** If a record looks like a gift, pledge, or payment, WIZE shows you exactly what it will save and waits for your go-ahead. A note that simply mentions an amount is saved as written.
- **You can undo.** Ask WIZE to undo a note or change it made. A whole meeting report — the report and all its follow-ups — undoes in one step; any of those records someone has edited since is left alone.
- **Every change is kept.** WIZE keeps a history of every record it creates, changes, or deletes, so a deleted note, follow-up, or report can be recovered by asking. A removed relationship is not restored that way — ask WIZE to record it again.
- **These records stay in WIZE.** They are not written back to your CRM. The one exception is **Blackbaud Raiser's Edge NXT**, where WIZE can log an action or add a note in your CRM after you confirm — see [Integrations](/help/integrations/#crm).
- **Where to see them.** Ask WIZE in chat — "what notes do we have on Jane Smith?", "what follow-ups are due this week?" On a contact's profile, the **Activity** section also shows what WIZE recorded about that person.
- **Private tasks can't save them.** CRM records and segments are shared with your whole organization, so a task that has been made private can't create them. Ask in chat instead.

## Importing contacts from a spreadsheet

Coming from a spreadsheet, or a CRM WIZE doesn't connect to? Upload the CSV or spreadsheet to WIZE (see [Spreadsheets](/help/spreadsheets/)), then ask WIZE to import it as contacts, gifts, or households. WIZE shows you a preview first — a sample of the mapped rows and how many look like duplicates of contacts you already have — and writes nothing until you confirm. Rows whose email matches an existing contact are skipped by default. The whole import can be undone as one batch.

Imported records are records WIZE keeps for you: ask about them in chat. The **Contacts** page lists your connected CRM's contacts, so imported rows don't appear there.

## Moving off your CRM

If your organization wants to stop syncing its CRM and keep everything in WIZE instead, ask WIZE to migrate. It first reviews what has been synced — counts, gift date range, obvious gaps — so you can check the sync looks complete. To go ahead you reply with **DETACH** in capital letters.

**This is permanent.** Syncing stops for good and can't be turned back on. Your synced contacts, accounts, and gifts stay in WIZE as a read-only snapshot you can still search, open, and ask about — they are not edited in WIZE afterwards, and the Contacts page keeps showing them as they were when syncing stopped. The notes, follow-ups, reports, and relationships WIZE keeps for you carry on working as before.

## Asking WIZE for a link

With a CRM connected, ask WIZE to "pull up Jane Smith's profile", "open my contacts", or "show me my segments" and it replies with a link straight to that page.
